Position Summary:

We are seeking an organised and proactive Administration Assistant to join our team. The successful candidate will be responsible for a variety of administrative tasks that support our smooth operation. This role is essential for maintaining the efficiency of our operation, coordinating volunteer administrative activities, and supporting the Board of Directors.

Training will be provided in our systems, however it is expected that applicants would already be proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and preferably be familiar with WordPress for website content management.

This role would primarily be homebased however they will be some need to attend meetings and training sessions by prior arrangement. We envisage this role will require a commitment of approximately two hours per week.

Food etc’s Administration Assistant will need to have:

  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks simultaneously.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive and proactive attitude with a willingness to learn
  • The ability to work effectively with different people.

 Key Responsibilities:

  1. Volunteer Administration:
  • Co-ordinate volunteer schedules and administrative tasks.
  • Maintain and update volunteer records and contact information.
  • Handle communications from and to volunteers.
  • Co-ordinate the volunteer onboarding process
  1. Website Maintenance:
  • Regularly update website content to reflect current events, news, and resources with content provided by others
  1. Document Preparation and Meeting Support:
  • Prepare agendas, documents, and presentations for directors’ meetings.
  • Take and distribute minutes during directors’ meetings.
  • Ensure follow-up on action items from meetings.
  1. Financial Administration:
  • Process and pay volunteer expenses promptly and accurately.
  • Reconcile bank statements with cash flow statements at the end of each month.
  1. Policy Management:
  • Ensure all policies are reviewed and approved by directors in line with review document and communicate changes to volunteers if required
  1. Photo Library Management:
  • Organise and manage the photo library.
  • Ensure proper labelling, storage, and accessibility of photos for use in communications and reports.
